 Admin Executive

Job Description

    • Prepare the MIS in monthly basis indicating overall
    • Expenditure of availed administrative services during that month.
    • Prepare yearly budget File indicating all the expenses incurred in a F.Y.
    • Monthly generation of Provision for information of the
    • Admin Lead & PH
    • Facility Management: Ensuring the basic facilities are well-maintained Drinking water, Dining Room, and conducting proactive maintenance for all offices Air
    • Conditioner, furniture, painting, lighting, sitting arrangements, all housekeeping related activities like all washrooms and its amenities.
    • Arrangements of employee engagement/welfare/ celebrations of festivals and its related activities.
    • Guest Management: Food /Travels/Hotel arrangement for guests, Customer, Emp.
    • Assist the guests/visitors/ with their accommodation and travel itinerary by Checking on the availability of accommodations or transportation on a travelers desired travel dates with external vendors.
    • Extend support to guests/visitors/ inspectors who have already made a travel itinerary by confirming, changing or cancelling reservations, issuing boarding pass and hiring the cabs to airport and local purpose.
    • Inspecting buildings structures to determine the need for repairs or renovations. Creating plans for replacements and repairs.
    • Overseeing the horticulture needs in plant and ensuring planning, execution work of green belt.
    • Physical verification of all the Service bills with respect of GST, Rates and terms &Conditions as per contract.
    • Timely collection and submission of all the administrative service-related Bills.
    • Create and process PR (Purchase Requisition) of material & services in SAP.
    • Prepare and monitor all the office and Plant related Inventories.
    • Provide monthly Spares consumption report for our respective area to Accounts
    • Dept.
    • Prepare and monitor the list of AMCs , their Contract Validity, Expiry,
    • Renewal & their terms and conditions.
    • Schedule and coordinate appointments and meetings with
    • company-dedicated apps gate. (work permit approvals, gate entry
    • approvals)
    • Need to Record and compile housekeeping data using established format like canteen checklists, washroom checklist, conference checklist, AMC reports for audit purpose.
    • Distribute data and employee reimbursement amounts like food consumption for deduction to Human Resource for processing their payroll inputs.
    • Courier Service Handling domestic/international
    • To engage both internal and external stakeholders via various communication platforms in order to better fulfill our responsibility and enhance the CSR image of the Group.
    • To plan, organize and drive various initiatives for the enhancement of the CSR activity.
    • Submission of Compliance return (Labour office, Factory Office, Employment Exchange, Police station)
    • Visiting Gram Panchayat and SMC for tax demand collection and processing its
    • payment.
    • Apart from the above activities, extensive the support in front office facilities like late night bookings, dinner arrangement in plants as and when required.
