Job Summary
Virinchi Ltd is seeking a highly organized and proactive Travel Coordinator to manage end-to-end travel arrangements for the company's leadership, management, employees, and corporate guests across all Virinchi group companies. The role includes managing domestic and international travel bookings, visa processing, itinerary planning, VIP protocol coordination, and confidential travel arrangements for senior leadership including the Founder and Chairman.
The ideal candidate should be capable of handling complex travel logistics, executive travel planning, and round-the-clock coordination to ensure seamless travel experiences.
Key Responsibilities
1. Corporate Travel Booking & Coordination
Manage domestic and international travel bookings across all Virinchi group companies.
Handle travel arrangements for management, employees, leadership teams, and corporate guests.
Coordinate and manage travel bookings for the Founder, Chairman, senior leadership, and their families when required.
Book flight tickets, upgrades, preferred seating, and priority services based on traveler preferences.
Compare airlines, routes, and fares to ensure efficient and cost-effective travel plans.
Manage ticket changes, cancellations, rescheduling, and refunds.
2. Accommodation & Hospitality Arrangements
Book hotels, guest houses, serviced apartments, and luxury accommodations.
Ensure accommodation meets corporate standards and executive preferences.
Check and negotiate corporate rates, upgrades, and special arrangements.
3. Visa, Passport & Documentation Management
Manage visa applications for international travel.
Handle passport renewals, updates, and document verification.
Ensure travelers have valid travel documentation, visas, and travel insurance prior to departure.
4. Travel Itinerary Planning
Prepare detailed travel itineraries including flights, hotels, transport, and meeting schedules.
Plan multi-city and international travel itineraries.
Share comprehensive travel details and emergency contacts with travelers before departure.
5. Local Logistics & Reservations
Arrange airport transfers, chauffeur services, and local transportation.
Make restaurant reservations locally and internationally for executives when required.
Coordinate meeting venues and hospitality arrangements.
6. VIP Protocol Management
Coordinate VIP travel arrangements for senior leadership and distinguished guests.
Arrange priority airport services, lounge access, meet-and-greet services, and protocol assistance.
Ensure smooth and discreet travel experiences for executives and VIP visitors.
Coordinate with airlines, hotel management, and protocol teams for special travel requirements.
7. Confidential Travel Management
Handle highly confidential travel arrangements for the Founder, Chairman, and senior executives.
Maintain strict confidentiality regarding travel schedules, destinations, and bookings.
Ensure secure handling of travel documents, bookings, and personal information.
8. Expense & Billing Management
Track all travel expenses and maintain proper records.
Prepare expense reports and submit them to the finance department.
Verify invoices from airlines, hotels, and service providers.
9. Travel Support & Coordination
Provide round-the-clock travel coordination when required.
Assist travelers during flight delays, cancellations, hotel issues, or itinerary changes.
Quickly resolve travel disruptions by coordinating with airlines, hotels, and service providers.
Required Skills
Strong knowledge of corporate and international travel management
Experience handling visa processes, passport documentation, and travel regulations
Ability to manage complex international itineraries and executive travel planning
Excellent communication, coordination, and negotiation skills
Fluent in English (spoken and written)
Strong attention to detail and problem-solving ability
Additional Requirements
Available round the clock for travel coordination when required
Ability to manage luxury and executive travel arrangements
Strong organizational and multitasking skills
