Position: Operation Executive
Working Days: Monday Saturday
Shift Timings: 09:15 AM 06:30 PM (Shift arrangements must be adaptable based on workload.)
Location: Rajkot (On-Site)
Overview
We are looking for a highly organized and proactive Operation Executive to manage multiple operational functions including client event management and our exclusive loyalty program for partnered clients. This role requires excellent coordination skills, attention to detail, and the ability to manage diverse stakeholders effectively.
Key Responsibilities
- Event Management & Execution:
- Manage and execute client events such as Clinic Openings, Staff Training Programs, and other related activities
- Review and understand event checklists and ensure all items are executed within defined timelines
- Track progress of each task and maintain updated status reports
- Coordinate between clients, vendors, and internal departments
- Cross-verify arrangements (venue, branding, materials, staff readiness, etc.) as per plan
- Be present during events to ensure smooth execution and handle operational challenges (if required)
- Loyalty Program Management:
- Manage a portfolio of 250+ clients enrolled in our exclusive loyalty program
- Evaluate and categorize clients into appropriate Privilege Card tiers (Silver, Gold, Platinum) based on company criteria
- Identify and allocate respective Medical Representatives (MR) and Area Sales Managers (ASM) for each client
- Plan, conceptualize, and coordinate tier-specific promotional inputs and benefits
- Maintain robust tracking system for dispatch status and delivery schedules
- Act as primary liaison between head office and field force
- Coordination & Communication:
- Regularly follow up with internal teams, vendors, field sales teams, and stakeholders
- Ensure timely completion of assigned tasks and deliverables
- Maintain clear communication to avoid last-minute issues
- Monitor schedules and proactively identify potential delays
- Take corrective actions or escalate issues when necessary
- Documentation & Reporting:
- Maintain proper documentation for events and loyalty program activities
- Update checklists and trackers regularly with current status
- Handle complete lifecycle management including renewals, upgrades/downgrades, and client additions/deletions
- Prepare and present accurate daily/weekly/monthly MIS reports, dashboards, and trackers for management review
- Ensure all deliverables meet company standards
Qualifications
- Minimum 2-3 years of relevant experience.
- Strong organizational and planning skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented and highly organized.
- A proactive and problem-solving approach.
