Job Description

Position Title: Occupational Health Analyst

Reports To: Head, Service Delivery HSE

Location: Goregaon East

Shift Timings: 6:30 AM - 3:30 PM IST


Role Description:

The Fitness for Work Coordinator is responsible for managing and administering pre-employment medical and fitness-for-work (FFW) processes for new & existing onshore employees. The role works closely with Talent Acquisition, HR, HSE, and external medical partners at onshore to ensure timely, accurate, and compliant medical assessments. It includes vendor coordination, documentation management, quality assurance, and supporting fitness-for-work interventions in line with company policies and regulatory requirements.


Key Responsibilities

1. Pre-Employment Medical Condition:

  • Track and monitor status of pre-employment medicals for candidates
  • Follow up with candidates, recruiters, and medical vendors to ensure timely completion
  • Update trackers and communicate status to Talent Acquisition teams
  • Ensure completeness and accuracy of medical documentation before onboarding

2. Vendor Management & Quality Assurance:

  • Liaise with empanelled hospitals/diagnostic centres for medical assessments
  • Track vendor turnaround time (TAT) and adherence to SLAs
  • Maintain records of vendor performance, delays, and non-compliance
  • Participate in vendor review discussions with Procurement/Supply Chain

3. Fitness for Work (FFW) Management

  • Review medical reports and flag high-risk cases for further evaluation
  • Coordinate with internal stakeholders for fitness-for-work decisions
  • Support development and tracking of Fitness for Work plans (where required)
  • Ensure proper documentation and record management in internal systems

4. Documentation & Compliance

  • Maintain accurate and up-to-date records of all medical reports and related documentation
  • Ensure compliance with company policies, client requirements, and applicable labour laws
  • Support audit readiness through proper documentation and reporting

5. Stakeholder Coordination

  • Work closely with:
  • Talent Acquisition teams
  • HSE and HR teams
  • External medical providers
  • Provide guidance on medical standards and processes
  • Ensure seamless communication across stakeholders

6. Reporting & Analytics

  • Generate periodic reports on:
  • Medical completion timelines
  • Vendor performance
  • Fitness-for-work outcomes
  • Analyse trends and highlight risks or improvement opportunities

7. Continuous Improvement

  • Identify opportunities to improve efficiency in medical and onboarding processes
  • Support automation and standardisation initiatives
  • Contribute to process improvements and best practices

Qualifications:

    • Graduate in any discipline
    • Preferred: Background in Life Sciences, Occupational Health, Nursing, or related field

Experience:

    • 25 years of experience in:
      • Occupational health / medical coordination / HR operations
      • Vendor coordination or healthcare administration
    • Exposure to pre-employment medical processes preferred

Knowledge and Skills:

    • Strong coordination and follow-up skills
    • Attention to detail and documentation accuracy
    • Good analytical and reporting skills
    • Effective communication (written & verbal)
    • Proficiency in MS Office (Excel, Word, PowerPoint, Teams)
    • Ability to manage multiple stakeholders and timelines
