HR & Admin Executive, Pune Office
Location
Pune (Hinjewadi), Maharashtra
Position Summary
We are looking for a responsible, disciplined, and result-oriented HR & Admin Executive to manage our Pune office operations and support recruitment activities. The position will act as the single point of coordination for office administration, employee discipline, attendance monitoring, infrastructure management, and HR support functions.
The ideal candidate should possess strong ownership, accountability, and coordination skills to ensure smooth day-to-day functioning of the Pune office while maintaining close communication with the Corporate HR Team at Surat.
The selected candidate will undergo 15 to 30 days of training at our Corporate Office, Surat before being deployed to Pune.
Key Responsibilities
A. Office Administration & Facility Management
- Ensure timely opening and closing of the office.
- Monitor office discipline and professional work culture.
- Maintain office infrastructure, furniture, IT assets, laptops, desktops, printers, internet connectivity, access control systems, and office equipment.
- Maintain inventory records and asset registers.
- Coordinate with vendors for office maintenance and repairs.
- Ensure housekeeping, cleanliness, and workplace hygiene standards.
- Maintain records of office consumables and stationary.
- Monitor office utility expenses and administrative requirements.
- Ensure proper upkeep and security of office premises.
B. Attendance & Employee Monitoring
- Monitor daily attendance, login/logout timings, and office discipline.
- Ensure adherence to office working hours and company policies.
- Track employee punctuality, absenteeism, and irregular attendance.
- Report attendance deviations to Corporate HR.
- Maintain daily office attendance records.
- Support employee engagement and grievance handling.
C. HR Coordination
- Act as the local HR representative for Pune office employees.
- Coordinate onboarding and induction activities.
- Support employee documentation and record management.
- Assist Corporate HR in policy implementation and compliance.
- Coordinate employee confirmations, appraisals, and HR communications.
- Support employee welfare initiatives and engagement activities.
D. Productivity & Compliance Monitoring
- Ensure employees utilize office hours productively.
- Monitor idle time and workplace discipline.
- Report productivity concerns and policy violations.
- Support implementation of company processes and operational controls.
- Conduct periodic workplace inspections and compliance checks.
E. Recruitment Support
As the administrative workload is not full-time, the candidate will also support the Recruitment Team.
Responsibilities include:
- Calling candidates from job portals and company databases.
- Initial candidate screening and telephonic interviews.
- Scheduling interviews with recruitment managers.
- Maintaining recruitment trackers and databases.
- Follow-up with candidates regarding interviews and joining.
- Supporting recruitment activities for Safety, EHS, HSE, Fire, Scaffolding, and Engineering positions across India.
F. Reporting & Coordination
- Report directly to the HR Head Corporate Office (Surat).
- Submit daily, weekly, and monthly office reports.
- Maintain attendance, asset, inventory, and office administration reports.
- Coordinate with Corporate HR, Accounts, IT, and Management teams.
Qualification
- Graduate in any discipline (MBA/PGDM HR preferred).
- Strong administrative and coordination skills.
- Good communication skills in English, Hindi, and Marathi.
- Knowledge of MS Excel, Word, Outlook, and Google Sheets.
- Experience in office administration and HR coordination preferred.
Experience
- 2 to 5 Years of experience in HR, Administration, Office Coordination, or Recruitment.
- Experience handling office operations independently will be preferred.

Training & Deployment
