Job Description

We are looking for an organized and detail-oriented Vendor Management Executive to oversee vendor-related activities and support the sourcing process. This role involves managing documentation, tracking deliverables, coordinating with internal teams, and ensuring smooth operational flow.


Vendor Management:

  • Identify, evaluate, and onboard vendors for Recruitment services (India and US), US SME sourcing, freelancer talent pools, and project-based outsourcing.
  • Manage contract negotiations, rate finalizations, and Service Level Agreement (SLA) definitions.
  • Track vendor performance, quality of submissions, and fulfillment timelines.
  • Maintain a live vendor database, contract repository, rate cards, and engagement trackers.
  • Coordinate closely with the US Sourcing Team to align on talent needs.
  • Support pricing discussions, RFP/RFQ processes, and build scalable sourcing pipelines.
  • Present regular vendor performance reports, dashboards, and procurement health metrics to leadership

2. Invoicing & Financial Coordination

  • Manage vendor invoices, verify accuracy, and ensure timely processing.
  • Maintain invoice trackers and reconcile discrepancies. Coordinate with Finance for approvals and payment follow-ups.

3. Statement of Work (SOW) Management

  • Create, review, and maintain Statements of Work and related documentation.
  • Track SOW timelines, extensions, renewals, and closures. Ensure compliance with internal policies and governance standards.

4. Tracking & Reporting

Maintain trackers for vendor activity, deliverables, and project status.

Generate periodic reports (weekly/monthly) for leadership and sourcing teams.

Monitor contract expiration dates, project progress, and resource utilization. 5. Database & Documentation Maintenance

Maintain accurate databases related to vendors, agreements, and project records.

Ensure data integrity and timely updates in internal systems/tools.

Organize and store documents for audit readiness. 6. Coordination & Stakeholder Management

Act as a liaison between the Outsourcing team and the Sourcing team. Support sourcing activities by providing required data and documentation.

Coordinate with cross-functional teams for smooth process execution.

Handle vendor communication where needed

Skills Required:

2 to 6 years of experience in vendor management, procurement, or sourcing operations.

Strong experience in US sourcing and vendor ecosystems (mandatory).

Solid negotiation, contract management, and vendor relationship-building skills.

Proficiency in Excel, vendor management platforms, Zoho Recruit, or similar systems.

Exposure to freelance workforce models, SME staffing, and project outsourcing management
